ASPeN - Adding/Updating documents and other organization resources

ASPeN can store library documents such as policies, board documents, or library brochures. ASPeN Administrators can determine who sees the documents. Sharing documents is helpful for educating the public and/or sharing with other libraries who might like to see examples from other libraries.


  1. Login to ASPeN 
  2. Click on ASPeN Admin
  3. You should see something similar to the screenshot below


Adding documents or other resources to ASPeN

See Updating Library/Organization Information for an explanation of each field.
  1. Click on "Update" beside the name of your library Additional Information. That link is called "ASPeN Test Library 1 Additional Information" in the above screenshot.
  2. Scroll down to Organization Resources. You can add a variety of different documents to ASPeN. 
  3. Click on "Create New Organization Resource" to begin the process.
  4. Enter a title for your document. This is a required field.
  5. Enter notes if needed. This is optional.
  6. Select the Organization Resource Type that best fits your document. This is helpful for describing and finding documents. For instance a person using ASPeN could search for all of the annual reports to see several examples.
  7. Enter the date this document/resource was created. It's okay to estimate if you are unsure.
  8. If the document has recently been reviewed enter the date it was reviewed in the field beside Date Last Reviewed.
  9. Click Choose File to upload your file OR enter an external URL if you want to direct people to a website (like your library's website).
  10. Click Save to finish the process. You should see something similar to the screen below.


Updating/deleting a resource

You will need to be logged into ASPeN and at your ASPeN Admin page to follow these instructions.
  1. Click on Update beside your library name Additional Information.
  2. Scroll down to Organization Resources
  3. Find the resource you want to edit or delete. Click to edit OR Click to delete.
  4. Follow the onscreen instructions to make changes.
