ASPeN - Directors - What to do when you get a new employee or trustee

These steps will help you keep ASPeN up to date when someone joins your team. For a demonstration please see the video at the bottom of this page. 

  1. Log in to ASPeN at https://mslservices.mt.gov/ASPeN/.
  2. To add the new staff member click on ASPeN Admin.
    1. This will be visible on the left hand side of the page in a box that looks like this:

When the page loads there will be a grey box with with your account and the director level access to make changes. 
  1. From there click on UPDATE positions. 
    1. When the next page loads you will notice a dropdown menu.
      1. Search in the dropdown menu for your new employee to see if they already have an account in ASPeN.
      2. If they are not in the dropdown they will need to be added to ASPeN.
          1. click the link right above it (Create New Person) to add them.  
  1. When the next section loads make sure to enter all of the information with a red asterisk next to it (last name, first name and email) and click save.
    1. After clicking save you will be routed back to the positions page to add your employee.
      1. Their information should show up in the grey box in the middle of the page like the example above.
  2. Next you will need to select position type from the drop-down menu just under under the grey box and enter the position your employee was hired for.
    1. Make sure to fill out the section with your employee's position, title and the the rest of the information that follows.
    2. When you get to the place to enter the email address and physical address of the library, use the drop-down menus. ASPeN will fill these in for you. Thanks ASPeN!
  3. Once you have filled out that whole section click save. If you see a pink congratulations box, congratulations!   It worked!



Above the pink box you will see a link to View Detail. Clicking this link displays what this entry looks like to the public.
Once you have your new employee added in the system make sure to have them create a personal account.
This will trigger an alert to ASPeN support staff at the Montana State Library to link your new employees personal account to the entry you just made.
