Circulation - Checking In

This article and video tutorial (below) cover setting up and using the Checkin wizard in WorkFlows.
In the F1 WorkFlows Help, SirsiDynix refers to this wizard as Discharge/Checkin. The MSC has chosen to use Checkin as the default name for this wizard.

Properties

Basics

Properties are workstation specific. To adjust properties:
1. Close the wizard that you want to adjust if it's already open.
2. Right-click on the wizard name and select Properties...

3. At the top of the window where it says Display property page, select Never.

If you select Wizard Startup, the properties window will open every time you open the wizard, and any changes you make to the properties will only last for the duration of the session.
4. If you have questions about settings, consult the Knowledge Base or press F1 (WorkFlows Help).
5. When you're finished making changes, click OK.
6. When you close WorkFlows, select Yes when prompted to save changes.

  1. Pay bills: If checked, when a bill is created on discharge, the Pay Bills wizard opens so you can take care of the patron’s outstanding bills.
  2. Display instructions: If checked, displays instructions for items that are to be routed for special re-shelving, e.g., Reserve Desk.
  3. Warning if user delinquent: If checked, a user status of DELINQUENT, BLOCKED, or BARRED will display as appropriate.
  4. Display hold instructions: If checked, displays instructions for items that are to be routed to the Holds shelf for an available hold at the discharging library, or for items that are to be put in transit to fill a hold at another library. By default, this check box is cleared.
  5. Display "item not checked out" error in a separate window: This error means the item was already checked in, or not checked out at all. If checked, a pop-up will tell staff the item hasn't been checked out. To avoid the pop-up, uncheck this box - the error will display as Item not charged in the wizard's List of discharges.
  6. Display in transit instructions: If checked, displays instructions for items that are to be put into transit for shelving at another library. By default, this check box is cleared.
  7. Display bill warning for every item: If checked, when discharging multiple overdue items for the same user, a warning message prompting the payment of a fine will display for each item.

Enabling sounds is not recommended. If sounds are enabled but the workstation's speakers are muted (or don't exist), WorkFlows tends to freeze.

H. Print transit slips if transit to is outside selected group: Not recommended. If checked, a transit slip will print only when the item being put in transit is outside the group selected in the drop-down list.

Helpers Tab

Checking a helper box will add that helper icon at the top of the Checkin wizard. Uncheck helpers you don't use to reduce clutter and confusion.

Make sure to click the button next to a selected helper to configure the helper's properties. For example, if you decide to add the Item Search helper to the Checkin wizard, you may want the default search preferences to match your library's settings in the Item Search and Display wizard.

Checking In

To check items in:
1. Click the Checkin wizard.

2. Scan the item ID into the Item ID box, or type it in and press Enter or click Discharge Item. Under List of discharges, the item's title, item ID and item type will display.

Discharging an item twice lessens the chance of staff missing a pop-up notification and lets them know with certainty that an item has been checked in. Double discharging will produce a pop-up or message in the List of discharges letting staff know the item isn't charged (screenshot above). Refer to the Properties - Configure Section to choose you're preferred setting.
Depending on your workstation settings, If there's a fee associated with the item, e.g. the item was overdue, the user's status and bill amount will display. Staff can then choose to Discharge the item without addressing the fine, Investigate the fine or help the patron pay the outstanding bill ( Pay Bill). If discharged without payment, the Amount Billed will appear on the item line in the List of discharges.

4. Optional: Right-click on an item (or highlight multiple items and right-click) to view more circulation functions. Doing so allows you to perform more tasks without having to open additional wizards.

5. Once you're finished scanning items, click Clear Discharge ListClose or simply keep the wizard open without clearing .
