Circulation - Renewing Checkouts

This article covers setting up and using the Renew User and Renew Item wizards to renew checkouts.

Properties

Basics

Properties are workstation specific. To adjust properties:
1.  Close the wizard that you want to adjust if it's already open.
2.  Right-click on the wizard name and select Properties...

3. At the top of the window where it says Display property page, select Never.

If you select Wizard Startup, the properties window will open every time you open the wizard, and any changes you make to the properties will only last for the duration of the session.
4. If you have questions about settings, consult the Knowledge Base or press F1 (WorkFlows Help).
5. When you're finished making changes, click OK.
6. When you close WorkFlows, select Yes when prompted to save changes.

  1. Warning if user delinquent: if checked, a user status of DELINQUENT, BLOCKED, or BARRED will display as appropriate.
  2. Extend user's library privilege: If checked, staff can renew a patron’s expired privileges during the renewal process. If not checked, the patron won't be able to renew items (unless staff first renew the privilege in the Renew Privilege wizard).
  3. Display user alerts: If checked, displays important alerts, such as an available hold, claims returned items, privilege expiration, etc.

Defaults Tab - Renew User

The Defaults tab can be left alone.

Helpers Tab - Renew User

Checking a helper box will add that helper icon at the top of the Renew User wizard. Uncheck helpers you don't use to reduce clutter and confusion.

Make sure to click the button next to a selected helper to configure the helper's properties.

  1. Extend user's library privilege: If checked, staff can renew a patron’s expired privileges during the renewal process. If not checked, the patron won't be able to renew items (unless staff first renew the privilege in the Renew Privilege wizard).
  2. Accumulate fines: Select No. Despite how it's worded, this setting doesn't dictate whether a patron is fined for overdue items.

Renewing Checkouts by User

The Renew User wizard is great when you're helping a patron who doesn't have the item with her, or she has multiple items checked out that she wants renewed.

To renew the item(s):
1. Click the Renew User wizard (Circulation module > Common Tasks toolbar > Renew User).

2. Pull up the patron's account by:
  1. Scanning the user ID barcode or
  2. Looking the user up with the User Search helper (icon of a person and magnifying glass).

3. Check the box in the Renew column for each item you want to renew. If you want to renew all the items at once, check the Select All box.

4. Click Renew Selected Items at the bottom of the screen.
5. You'll then see a list of the items that were successfully renewed, their new due dates, and any fines, as well as a list of items that weren't renewed.

6. If you get an Item has holds pop-up, we recommend you give the patron the option to either keep the item (and any overdue fines it accrues) or check it in so it can route to the next person in line.

7. A receipt will print (if you've set those properties).

Renewing Checkouts by Item

The  Renew Item wizard is great when you're helping a patron who has the item(s) in hand that he wants renewed.

To renew the item(s):
1. Click the  Renew Item wizard (Circulation module > Common Tasks toolbar > Renew Item).


2. Scan the item ID(s).
3. You'll then see a list of the items that were successfully renewed, their new due dates, and any fines.

4. If you get an  Item has holds pop-up, we recommend you give the patron the option to either keep the item (and any overdue fines it accrues) or check it in so it can route to the next person in line.

5. Close the wizard.
6. A receipt will print (if you've set those properties).

Renewing Checkouts Using Right-Click Functionality

You can renew items in the CheckOut wizard by right-clicking:
1. Open the CheckOut wizard (Circulation module > Common Tasks toolbar > CheckOut).

2. Under Current user checkouts, right-click on the item's title (or highlight multiple items and right-click) to view more circulation functions. Doing so allows you to perform more tasks without having to open additional wizards.

3. Select Renew As Seen or Renew As Unseen -- it doesn't matter which one you choose.
4. Click OK.
5. If successful, the item(s) will display the new due date(s) and any fines.

6. If you get an  Item has holds pop-up, we recommend you give the patron the option to either keep the item (and any overdue fines it accrues) or check it in so it can route to the next person in line.

6. To print a receipt, right-click the item(s) you want printed.
7. Select Print Checkout Slip.
