MobileStaff - Managing Holds and the Holds Shelf

This article covers using the MobileStaff app (or browser version) to generate a list of holds to pull (an on-shelf holds or OSH list), filling them, modifying them, and managing inactive holds already on the holds shelf.
MobileStaff can't be used to place holds, only handle existing ones.


Pulling and Filling Holds

This functionality works best in the app as opposed to the browser version; if you want to print your on-shelf holds list, refer to Circulation - Filling Holds for more information.

To generate a list of holds to pull - a.k.a. an on-shelf holds list or OSH list, tap Holds Pull List from the left-hand menu.

From here you can designate:
  1. Library - this defaults to your institution
  2. Current Location (of the item) - you can select All Locations or view one at a time, e.g. JUV-COMIC, LGTYPEFIC, NEW-AUDIO, etc.
  3. Item Types - you can choose All Item Types or select one or more to view at once, e.g. 14DAYLOCAL, 7DAYLOCAL, BOOK, etc.
  4. Sort - you can sort your list by Call Number, Item Type, Title, or Author.
Once you've decided which holds you want to view and how you want them to display, tap Onshelf Items.

Your list of on-shelf holds will display.

Each result will contain item information - call number, title, author, item ID, and current location - as well as the user ID and name of the account with the hold.

Tapping the hold gives you a pop-up with options to:
  1. Trap Hold - this will fill the hold and print a holds slip (if you have a Bluetooth printer and receipt printing enabled). If you choose this option, don't check the hold in using WorkFlows. For more information on settings, see MobileStaff - Installing, Logging In, and Managing Settings.
  2. Delete Request - this will remove the hold.
  3. Mark Missing - this will mark the item missing by checking it out to your library's specific missing user. To designate your library's missing user, see MobileStaff - Installing, Logging In, and Managing Settings.
  4. OK - this will close the pop-up without doing anything to the hold.

Viewing and Modifying Holds by User

To view, modify, or remove a user's holds, tap/click Holds by User from the left-hand menu.

Pull up the user's account by:
  1. Tapping the barcode icon and scanning the user ID with a Bluetooth scanner OR your device's camera.
  2. Typing the user ID and tapping Holds by User.
  3. Scanning the user ID (browser version).
If the user doesn't have their card handy, tap/click User Search.

From the User Search screen you can enter one or more criteria, e.g. NameAlt ID, etc., then tap/click Search.

Tap/click the account you want. If there are alerts or notes, or the account is blocked, you'll see a pop-up.

After you close the pop-up, the word(s) Alerts, Blocks, and/or Notes will appear in red at the top of the account. Tap/click any of these for more information.

From the Holds by User screen you have the option to:
  1. Display - this will display more information about your selected hold(s).
  2. Modify - from here you can modify a hold(s) pickup library, which defaults to your institution, the expiration date (not the same as the pick-up by date), whether the hold(s) is suspended and for how long, as well as add a comment.
  3. Remove - this will remove the selected hold(s) from the account.
To modify a hold(s), select the hold(s) you want to modify.

Tap/click Modify.

This will take you back to the Holds by User screen where you'll see your changes displayed.

Cleaning the Holds Shelf

To view your library's cancelled, expired, and suspended holds:

Tap Hold Shelf from the left-hand menu.
This list is dynamic and updates in real time, which means it refreshes every time you tap Actions > Refresh. Holds that have been dealt with will no longer appear on the list and "new" items (if there are any) will appear throughout the day so staff can revisit the list as they're able.

You can sort how the list displays using the Sort drop-down.

To clean cancelled, expired, or suspended holds from the holds shelf:
  1. Tap the check box next to the hold to select it.
  2. Tap Actions.
  3. Choose Process Inactive.
