Cataloging - Printing Spine Labels in Batch

This article covers how to print spine labels in batch using Workflows Reports. The report allows you to print in batch either by scanning specific barcodes or by specifying the date or date range items were added to the catalog. To print spine labels in batch you will need to save a label template using the Label Designer wizard and request MSC admins to create the Workflows report. To request help to save a label template or to have the report created open a help desk ticket


1. From the Reports module, click the Schedule Reports wizard.
2. On the Templates tab select the report titled [LIBRARY] Spine Labels.
3. Click Setup & Schedule button at the bottom of the screen.
4. Click on the Item IDs tab (2nd from the left).
5. Click the diamond-shaped button next to the field with the barcode in it.
6. In the popup, select the existing barcode(s) and click Remove.
7. Put your cursor in Item ID field at top of screen and scan in all your barcodes.
8. Click SAVE.
9. Click on the Item Selection tab.
10. Look to see if a date has been saved in the Date Created box. If a date has been saved, delete the date or date range.
11. Click Run Now at the bottom of the screen.
12. On the next popup, choose Display Finished Reports.
If your report doesn’t show up right away, wait a minute and click the Refresh Report List button (looks like rabbit ears in a top hat).  Repeat until your report shows up.  You do not need to re-run the report, your report is just in line behind reports that are running for other libraries.

13. Select your report and click View at the bottom of the screen, then OK on the popup that appears.
14. Wait for a moment for the Print Preview screen to open. You can print your labels as-is, use the START PRINTING AT SELECTED LABEL button to adjust where they start, or use the MODIFIES SELECTED LABEL button to edit individual labels in case you spot a typo.

If you modify a label on the print preview page, don't forget to go back and correct the call number in the item record.

5. Look to see if barcodes have been saved in the Item IDs box. If barcodes have been saved, delete the barcodes.

8. In the popup, enter a single date or date range using the diamond-shaped button.
9. Click OK.
10. Click Run Now at the bottom of the screen.
11. On the next popup, choose Display Finished Reports.

Adjust spine label template margins, font size, and font type

1.  From the Cataloging module, click the Label Designer wizard found in the Common Tasks drop-down.
2.  In the Label Templates pop-up, select your library spine label template and click Modify.
3.  To adjust margins, manually edit the values in the Text Margins fields as needed.
4.  To adjust the font, click the Font button. Using the Font pop-up, make changes to font, font style, or font size. Click OK
5.  Click Save and then Close.
After you modify your spine label template you do not need to re-run the report. Just go back to Finished Reports and click View to have the report reopen with the new settings.
